Vendor Policies
The Vanguard Renaissance Festival is held on a publicly supported college campus. As state property, the possession, sale, destruction, and consumption of alcohol is prohibited. Individuals found in possession of or under the influence will be removed from the event and prosecuted for violating the law.
Free event parking is available on campus. Guests should plan to park in Parking Lot F, located next to the Science Building at 300 Peach Street, Beebe, AR 72012. If additional parking is needed, overflow parking will be available in Parking Lots E, D, and G.
The only entrance to the festival is located in front of the Science Building (300 Peach Street).
Guests who park near the McKay Student Center out of habit will be asked to walk around the festival grounds to access the Science Building entrance. Please note that there is no entry to the festival from the Owen Center or the McKay Student Center.
ALL costumes and attire must be family-friendly and may not be offensive, obstructive, violent, or otherwise objectionable.
The Vanguard Renaissance Festival reserves the right, at its sole discretion, to require a guest to remove his/her mask and/or to require that the guest take their mask off site.
Footwear is required at all times.
Guests wearing bulky or layered clothing may be subject to additional security screening.
The Vanguard Renaissance Festival reserves the right to refuse entry and/or remove guests who do not adhere to the costume policy, unless the costume or attire can be modified to meet the standards above.
• Official Currency: Realm Coins are the official currency of the Renaissance Festival and must be accepted by all vendors.
• Exchange Rate & Location: Realm Coins may be exchanged at a rate of $1 USD = 1 Realm Coin at the Treasury Booth located at the festival gate.
• Vendor Acceptance: All vendors are required to accept Realm Coins; external vendors may also accept U.S. currency. All ASU-Beebe student-run booths accept Realm Coins only.
• Unused Coins: Unused Realm Coins may be exchanged back for U.S. currency at the Treasury Booth upon the patron’s departure.
• Festival Marking: All Realm Coins are stamped with an official marker designating the current festival.
• Validity: Realm Coins are valid only on the festival date issued and are not transferable or redeemable at future festival dates.
The Vanguard Renaissance Festival is held on a publicly supported college campus. As state property, the possession, sale, destruction, and consumption of tobacco or cannabis is prohibited. Individuals found in possession of or under the influence will be removed from the event and prosecuted for violating the law.
Individuals may bring small items of negligible value to give away or swap with others. This practice is known as “trinket trading.”
Trinket trading of the following is prohibited:
1. Edible or consumable products.
2. Offensive, sexual, or otherwise inappropriate items.
3. Items that are the same or similar to those sold by the Festival or by artisans at the Festival
4. Items that are given to or traded with a child without the knowledge and permission of the child’s
parent/guardian
5. Dangerous, unsafe, or unsanitary items
6. Items bearing the name, logo, or likeness of a person, entity, or act without the permission of that
person, entity, or act.
7. Items bearing the name or logo of the Vanguard Renaissance Festival or ASU-Beebe.
No items may be sold or exchanged for monetary compensation at the Festival except by authorized Festival vendors. Trading in a manner that is disruptive, unruly, gives the impression of busking, or is otherwise problematic is prohibited.
The SGA Joint Committee on the Vanguard Renaissance reserves the right to prohibit any additional items or types of trinket trading.
The Vanguard Renaissance Festival bans firearms on the premises.
Guests may wear a sword or dagger, but the sword or dagger MUST be sheathed completely with no part of the blade showing and secured in the sheath or scabbard. In addition, ALL swords and daggers must have a plastic zip tie attached and visible (peace bound or peace tied). At no time may they be drawn from the scabbard or sheath. Only swords or daggers are permitted. No other weapon will be allowed at the Festival.
Possession of Functioning Weapons (including firearms, swords, axes, daggers, bows, crossbows, or slingshots) Items used with costumes must be inspected and tagged by Campus Police Department upon entry to the venue. Campus Police Department is the sole determiner of approved weapon props for costuming.
Zip ties are available at each entrance gate. Guests may not carry any other weapons or objects that resemble or could easily be mistaken for an actual weapon. No costumes or accessories that contain sharp objects, pointed objects, or materials that may accidentally strike another guest are allowed.
Firearms, replica firearms, or anything that can be mistaken for a firearm, are banned on Festival grounds. No exceptions.
All other weapons must clearly appear to not have the ability to harm others or any property. This includes cosplay replica weapons.
Bows are not permitted, except for being transported by competitors and unstrung, to and from festival events. Arrows being carried as a costume adornment must be peace tied together and have the arrow tips removed.
Plastic, wood, and foam toy weapons are allowed without being sheathed or peace bound, but may not be wielded in a way that they might accidentally strike another guest or employee.
